What the venue includes and what the planner arranges

Forest Springs Resort is a venue and a place to sleep, not a full-service conference hotel. That keeps quotes simple and gives planners control of the experience. Here is the split most groups end up with.

  • Included: rooms, community room, lawn, fire ring, ceremony site, access to the sauna, cold plunge, red light therapy, pool, courts and trails
  • Available on site: beer and wine at the Forest Lounge
  • Planner arranges: catering, facilitation or programming, AV beyond a laptop, rentals beyond our tent (available to rent from us), transport from XNA
  • We help with: recommending local caterers and vendors, timing, rooming list and arrival planning

Formats

Room block or buyout: how each works

A room block reserves a set number of rooms for your group on specific nights. Other guests may be staying at the resort at the same time, and shared spaces such as the pool and sauna are shared. Blocks suit groups up to about 25 rooms.

A full buyout reserves all 50 rooms and gives your group exclusive use of the property for the stay. It suits groups of 40 to 60, weddings, and any client who needs privacy. Planners usually submit one rooming list for a buyout.

Holding dates

How to hold dates and move to a contract

Start with the inquiry form below or call (479) 239-8978. Give us your client's preferred dates, an alternative, group size, format and whether they need a block or a buyout. We reply with availability and a written quote.

If the dates are open, ask us about holding them while your client decides. The written quote spells out how a hold becomes a confirmed booking for your dates, so there are no surprises when your client signs.

Which clients this venue suits, and which it does not

Forest Springs Resort is a good fit for groups of 10 to 60 who want a private, outdoor-leaning setting, rooms on site, and a programme they run themselves: leadership teams, wellness and yoga retreats, small weddings, reunions and friend groups. Clients who value the sauna, cold plunge and forest trails tend to love it.

Most planners who book here are pitching an experience, not a meeting package: time outdoors, contrast therapy, rooms a short walk from the work, and a fire ring at night. Lead with that in your proposal.

It is not the right venue for a client who needs a plenary room for 60 indoors, a full-service restaurant, cocktails or on-site event staff running the programme. Telling you this now saves you a site visit and keeps your client's trust.

Seeing the property before you pitch it

Ask us about a site visit when you inquire. A useful walk-through covers the community room, the lawn and ceremony site, the fire ring, the Forest Lounge, a king, a double queen and a suite, and the sauna and cold plunge, so you can describe each space to your client from experience.

Planner questions

How do I hold dates for a client retreat?

Send the inquiry form or call (479) 239-8978 with your preferred dates, one alternative, the group size and the format. We reply with availability and a quote, and we can talk through holding the dates while your client decides.

What is the maximum group size?

Up to 60 guests for events and retreats. The resort has 50 rooms, so a group of 60 usually means some guests share double queen rooms.

Do you pay planner commissions?

Ask us when you inquire. We discuss planner arrangements case by case, alongside the quote for your group.

Can you send a rate sheet or pricing PDF?

We do not publish event or retreat pricing. Contact us for pricing and we will send a written quote for your client's dates, group size and room count.

Is there an on-site event coordinator?

Our team helps with dates, rooms, spaces and timing before and during the stay. We do not run programming, catering or activities; the planner or facilitator owns the run of show.

What are the food options?

There is no restaurant, breakfast service or catering kitchen on site. Groups bring a licensed caterer (we can recommend local ones) or eat at restaurants in downtown Eureka Springs, five minutes away. The Forest Lounge serves beer and wine only.

What is the Wi-Fi like?

Yes. Every stay includes Wi-Fi via Starlink. Connect on site, no password needed. Speeds are usually strong, but our forest setting means it can slow down or drop briefly. If you have an important meeting, plan a backup (hotspot or cellular).

What are check-in and check-out times?

Check-in is from 3 PM. Self check-in is the default: each guest receives a check-in link, then a room number and door code. For a group arrival, tell us your timing and we plan around it.

Is the property accessible?

We have a mobility-friendly king room with grab bars. Tell us about any accessibility needs in your group when you inquire and we will walk you through the rooms and paths.

Are dogs allowed for retreat guests?

Yes. Forest Springs Resort has dog-friendly rooms. Include dogs on your rooming list so we can place them.
